The Pearl Gates, a leading real estate company in Qatar, approached us to build an integrated monday.com solution addressing three distinct workflows across their business: Property Management, Creative & Studio Operations, and HR Candidate Onboarding. Each workflow had its own complexity, and the client sought a centralized, scalable platform to manage, track, and optimize operations with visibility across all stages.
To meet The Pearl Gates’ diverse requirements, we designed and implemented a multi-workflow monday.com solution that connected intake forms, process stages, automation rules, approvals, and dashboards across all three departments—Sales, Creative, and HR—ensuring a cohesive and efficient operational structure.
We developed a custom lead intake form, allowing the sales team to register property leads based on specific categories like rental, sales, or investment. Once a lead was submitted, we implemented multi-step automations to:
Automatically assign leads to the relevant sales reps
Progress leads through defined pipeline stages (Site Visit, Offer Sent, Contract Signed)
Trigger conditional approval cycles, depending on the lead value, deal type, or stage
Notify relevant managers at each milestone
To ensure end-to-end control, we also created commission tracking logic triggered once a deal was closed, with approvals required before release. Furthermore, we built sub-items automation to ensure required documentation (like contracts, IDs, approvals) were prepared and uploaded before progressing to the final stage.
A high-level sales dashboard was developed for management to view active leads, conversion ratios, sales performance by rep, and commissions in one place.
For the Creative & Studio team, we created a tailored request form and task board. Automations were used to:
Auto-assign creative tasks to individuals based on category (design, video, social media)
Initiate structured stages for each request, including internal review, client review, and final approval
Enable revision tracking with dedicated columns and item updates
Store and manage creative assets and attachments directly within the board
This workflow provided transparency and accountability for every task, while ensuring creative output followed an organized and professional review process.
We developed a candidate submission portal using an external form where candidates could apply and submit their portfolios. Submitted profiles were routed into an HR pipeline board where we:
Categorized candidates by role or skillset
Enabled tracking of internal document checks, interviews, and shortlisting
Allowed internal stakeholders to evaluate before candidates were shared with clients
Once a candidate was approved by the client, we triggered the creation of a new entry in a dedicated onboarding board, which included tasks like collecting documents, signing contracts, induction scheduling, and IT access requests. This created a complete candidate lifecycle, from application to onboarding.
With these tailored workflows, The Pearl Gates successfully centralized and digitized operations across Sales, Creative, and HR departments. The implementation:
